Form Spreadsheet
The forms spreadsheet contains a list of all forms needed for this mission trip and tracks which required forms the team members have turned in.
Comprehensive Database
This database has been archived.
The database contained all of the following information (in order of spreadsheet tabs):
Roster
- The Roster spreadsheet contains the full list of participants (including potential participants) along with full name, sex, age, phone, and email.
- If the participant has paid the trip deposit, an X appears in the box under deposit. The total number at the bottom of the column is used in the budget spreadsheet.
- Each meeting is listed in a column and participant attendance is marked with an X.
Numbers
- The Numbers spreadsheet provides a consolidated view of the numbers for each sex and age group in the roster, along with the number of deposits paid by each category.
Budget
- The Budget spreadsheet shows a breakdown of all expected (or estimated) expenses for the trip.
- It is also where all official income figures are collocated, including individual fundraiser totals, personal commitments, sponsors, and missions money.
- There is a tracking of checks that will need to be made out (based on last year's procedures) and when they are due.
- Finally, there is a list of Misc Donations and when they are received.
Personal Sponsors
- The Personal Sponsors spreadsheet contains a record of all sponsor donations received for each individual team member, including name and address of the donor.
- On the right side is a PivotTable that shows the total sponsor donations per person. These amounts are linked then with the fundraising sheet.
Fundraising
- The Fundraising spreadsheet contains a breakdown of all money into participant "accounts." This is each person's share of what has been earned according to participation levels.
- The last two columns in the spreadsheet detail how much is in each person's "account" and how much more each person needs to raise to meet the financial obligation for the trip.
Transportation
- The Transportation spreadsheet contains the team's flight itineraries and associated costs. (Currently, the information shown is from last year.)
Seating
- The Seating spreadsheet contains the seating assignments as they have been made by the airline. (Currently, the information shown is from last year.)
Work Crews
- The Work Crews spreadsheet contains the breakdown of the team into work crews. This spreadsheet will not be complete until late November or early December.
Budget (32)
- The Budget (32) spreadsheet contains the estimated expenses for a group of 32 people. This was used for estimating purposes when deciding between a 28- and 32-person team.
Prospective Youth
- The Prospective Youth spreadsheet contains a list of all the youth currently involved in the Sr. High youth program who might be interested in the Eleuthera mission. The first column designates whether they are going to go or not (yes/no).
Safe Sanctuaries
The CUMC Safe Sanctuaries Policy is currently being updated. More info soon.
All adults (participants age 18 and above), whether group leaders or not, must complete Safe Sanctuary forms. This includes any adults working with the team to prepare for the trip, even if not attending the trip.

Sample Sponsor Letter

These are the Frequently Asked Questions (FAQ) that we put together before the Dec 2007 trip to answer all of the questions we had been getting from team and congregation members. These have been modified for the Dec 2008 trip.
